Rule of HKUST Archery Team (Dec 2014)

ARTICLE 1: NAME

1.1 The name of the organization shall be “HKUST Archery Team” in English.

ARTICLE 2: OBJECTS

2.1 The objects of the Team shall be:

(a) To enhance the development of archery inside HKUST.

(b)To raise the reputation of HKUST Archery Team

(c)To increase the involvement of HKUST Archery Team in the local and oversea archery scene

ARTICLE 3: MEMBERSHIP

3.1. Team Members are shortlisted from a pool of probationary team members.

3.2. Team Members in this context are defined to be members of the HKUST Archery Team selected by the Team Coach and Team Manager from the Fall Semester Internal Competition organized by the Archery Club, HKUSTSU or via other means.

3.3. Team Members must be current undergraduates or postgraduates of HKUST.

3.4. Team Members must be full members of the Archery Club, HKUSTSU.

3.5. The identity of Team Members may be renewed on an annual basis as long as the above conditions are fulfilled and upon passing the performance review by the Team Coach and Team Manager as specified in 2(c) below.

3.6. Although probationary team members are listed in team list, they have lower priority in terms of welfares, competition application or other benefits than team members.

3.7. Team Members may be downgraded to probationary if their performance, attitude or behavior requires further improvement, based on Team Coach and Team Manager’s opinion.

ARTICLE 4: ORGANIZATION

4.1. The administration of the Team shall be vested in the Team Coach and Team Manager.

4.2. The Team Manager shall appointed representatives to represent the Team in matters affecting its interest.

ARTICLE 5: APPOINTMENT

5.1. The following positions in the coming session are nominated by the current Team Manager:

(a) Team Manager

(b)Equipment Manager

(c)Male Team Captain

(d)Male Team Vice-Captain

(e)Female Team Captain

(f)Female Team Vice-Captain

5.2. Team member can volunteered as the positions as specified in 5.1. but the finally nomination shall be vested in the Team Manager.

5.3. Team Manger must submit the nominated list to Team Coach.

5.4. Team Coach has the right of veto on the nomination for the positions as specified in 2(a)

5.5. If Team Coach exercises the right of veto, Team Manger needs to nominate again until 5.6. is satisfied.

5.6. If Team Coach does not exercise the right of veto on the nomination, nominated members shall be appointed.

ARTICLE 6: MANAGER AND CAPTAIN

6.1. The Archery Team shall consist of a Team Manager, an Equipment Manager, a Male Team Captain, a Female Team Captain.

(a) The Team Manager shall be the chief executive of the Team and shall be a Captain. Team manager shall be responsible for:

- Assisting Team Coach to make the training plan

- Organizing to join local and oversea competitions

- Equipment deployment for Team Member

- Submitting one page report to SAO after each competition

- Handling all financial affairs of the Club

- Meeting with the advisor of archery team

(b) The Equipment Manager shall assist the Team Manager and shall be responsible for:

- Manage the inventory of Team and repair the equipment

- All promotion, venue, sponsor affairs of Team

- Ordering team uniform and jacket and pants

- Updating the team practice calendar on the website

- Posting the information of competition on Facebook group of archery team

- Monitoring the information of award for archery team and members is updated on the website and Facebook

(c) The Male Team Captain, Male Team Vice-Captain, Female Team Captain and Female Team Vice-Captain shall assist the Team Manager and shall be responsible for:

- Leading warm up and cool down

- Counting the late and absent

ARTICLE 7: FINANCE

7.1. All bank accounts of the Team shall be operated by the Team Manager for the current Session.

ARTICLE8: BENEFITS FOR TEAM MEMBERS

8.1. Team Members’ welfare and administrative matters will be handled by the Team Manager. 8.2. Team Members are entitled to a Team Jacket and a Team Tee with a minimal fee when necessary.

8.3. Team Members will be given opportunities to participate in local and overseas competitions.

8.4. Team Members will be given priority in training and skill enhancement workshops given by the Team Coach.

8.5. Team Members may be given as much support as possible in terms of welfare, in competitions, when necessary.

8.6. Team Members still undertaking HLTH1010 will be able to count hour(s) towards the Organized Sports Module upon request.

ARTICLE9: OBLIGATIONS OF TEAM MEMBERS

9.1. Team Members have the obligation to follow the instructions of Team Coach, Team Manager, Equipment Manager and their authorized representative(s).

9.2. Team Members shall maintain positive manner and attitude towards Archery activities and other archers under all circumstances.

9.3. Team Members shall submit the annual team fee for the purpose of replenishment of Team Equipment and Accessories. The team fee is non-refundable.

9.4. Team Members have obligation to be helpers for the HKUST Indoor Archery Open Competition, if are not themselves participating in the competition.

9.5. Team Members have obligation to help the daily operation of the Archery Club about regular practice and workshop.

9.6. Team Members shall take good care of their equipment, especially those provided by other parties, and make sure they are always in good conditions.

ARTICLE10: TEAM EQUIPMENT

10.1. Team Equipment in this context is defined to be equipment on loan to or not paid for, yet is in use by the First Party. This includes but is not limited to risers, limbs, stabilizers and dampers, clickers, plungers, strings, quivers, arrows, rifle bags and, when deemed fit, as seen by the Equipment Manager.

10.2. Team Members in 3.1. and 3.2. are entitled, but not obliged, to use the Team Equipment.

10.3. The event of withdrawal, expulsion from the HKUST Archery Team or upon graduation, all Team Equipment is to be immediately returned or refunded to the Equipment Manager in their original condition.

10.4. Dry firing of bows and inappropriate use of Team Equipment are strictly prohibited.

10.5. Lending and/or loaning of Team Equipment to persons other than Team Members for commercial purposes or otherwise is strictly prohibited.

10.6. Team Members shall seek approval(s) from Team Coach or Equipment Manager for any change of Team Equipment.

10.7. Should the Team Members fail to return any reusable equipment as mentioned in 10.1.

(a) If arrows were subsequently returned but NOT fully reusable, the Team Members would be held liable for half of the cost of the damaged arrow(s) replacement, and payment should be made in full to the Team Manager immediately.

(b) If the equipment was subsequently NOT returned or returned but NOT fully reusable (except arrow), the Team Members would be held liable for the full cost of equipment replacement, and payment should be made in full to the Team Manager immediately.

(c) If the equipment were subsequently retrieved/ repaired by the Team Members to become reusable, the Team Members would not be held liable for the replacement cost. Paid cost would be refunded.

ARTICLE11: TEAM STORE

11.1. Team Store referred to in this context is the LG4 C-Store, which is accessible by person(s) listed on the Team List submitted by the Team Manager.

11.2. All Team Members must follow the instructions provided by the Team Coach and Equipment Manager for usage and management of Team Store.

11.3. Team Store is only for the sole purpose of storage of Archery equipment and accessories of Team Members. Storage of irrelevant personal belonging(s) is prohibited. Such items could be removed without prior notice.

11.4 Team reserves the right to confiscate all personal property of Team Members which fail to meet clearance and/or management requirement(s) as stated by Team Coach and Equipment Manager without prior notice.

ARTICLE12: USAGE OF ARCHERY VENUES

12.1. Archery Venue(s) in this context is defined as areas and/or venues where Probationary Team Members and Team Members are found to be practicing Archery in person. This includes, but not limited to

(a) LG4204 Multi-Purpose Room,

(b) Phase III Lawn Area, and

(c) Any other archery field(s), venue(s), competition field(s) under supervision of other organizations such as World Archery Federation (WA), Hong Kong Archery Association (HKAA) and their affiliated club(s).

12.2. Team Members are strictly required to adhere to the rules and regulations as specified by the organization(s) and person(s) in charge of the respective archery venue(s).

12.3. Should 11.2. be violated, the Team Member would be held liable for the cost of damaged equipment and/or property (if any) whereby payment should be made to the Team Manager and/or concerned parties immediately, and the case(s) would subsequently be reviewed by the Team Coach and Team Manager.

12.4. Before any shooting session, all Team Members should assist in setting the archery venue(s).

12.5. After completion of shooting, all Team Members should restore the archery venue(s) to its original condition (or other condition as requested) before leaving the vicinity.

ARTICLE13: TEAM PRACTICE

13.1. Team Practice in this context is any practice session(s) specified by the Team Coach and/or Team Manager at least one (1) day in advance, and includes, but is not limited to, Regular Team Practice every Sunday subject to availability of the practice venue(s) in 12.1..

13.2. All Team Members are required to attend all Regular Team Practice every Sunday and are highly encouraged to attend all other practice session(s) as specified by the Team Coach and/or Team Manager.

13.3. All Team Members are required to be PUNCTUAL for Team Practice.

13.4 Should the First Party be unable to attend Team Practice, the First Party should seek approval from BOTH the Team Coach and Team Manager at least one (1) day in advance.

13.5. During Team Practice, the First Party is strictly required to adhere to the Team Coach’s instructions.

13.6. A highly unsatisfactory attendance record for Team Practice may subsequently lead to expulsion from the HKUST Archery Team as seen fit by the Team Coach and/or Team Manager.

13.7. It is suggested by the Team Coach that 10 hours per week shall be allocated to practice archery, as a habit in daily life.

13.8. During exam period, all team members still need to attend team practice unless having an exam on Monday or two exams on next week.

ARTICLE14: COMPETITIONS AND EVALUATIONS

14.1. All Team Members are required to participate in:

(a) Inter-University Archery Tournament (IUAT)

(b) Hong Kong Post-Secondary Schools Indoor Archery Championship

(c) Hong Kong Cup Competition

(d) Hong Kong Shield Competition

(e) Any other Internal and External competition(s) as specified by the Team Coach and Team Manager.

14.2. Other competition(s) not mentioned in (a)-(e) are optional but encouraged.

14.3. The performance, manner and attitude of all Team Members will be reviewed during the competition(s) specified in 8(a).

14.4. Scores in Hong Kong Cup Competition and Hong Kong Shield Competition will be reviewed as major evaluation of team members. Requirements are listed as follow but subjected to adjustment by Team Coach.

14.5. Team members are encouraged to participate any tournament within one month before or after HK Cup/ HK Shield. These scores can be submitted as substitution for evaluation.

ARTICLE 15: INTERPRETATION

15.1 In this Constitution, unless where the context otherwise requires, the followings expressions shall have the following meanings:

(a) “Team” shall mean the “HKUST Archery Team”.

(b) “AC” and “Club” shall mean the “Archery Club, HKUSTSU”

(c) “Sports Association” shall mean the organization defined in Article 16.1 of the Constitution of the HKUSTSU.

(d) “Union” shall mean the “Hong Kong University of Science and Technology Students' Union”.

(e) “University” and “HKUST” shall mean the “Hong Kong University of Science and Technology”.

(f) ”SAO” shall mean the “Student Affairs Office, HKUST”

(g) “AA” shall mean the “Hong Kong Archery Association”.

15.2 In this Rule, unless where the context otherwise requires, the plural shall be deemed to include the singular and vice versa and the masculine gender shall be deemed to include the feminine and neuter genders.
